Setting up your first workspace
The two-step flow a brand-new account goes through to create a workspace and invite the first teammates.
A workspace is the container for everything on the platform: files, projects, knowledge sources, models and members all belong to one. Your account is not useful until it belongs to at least one, so the first time you sign in without a workspace the platform sends you straight into a short setup flow instead of the app: name the workspace, optionally invite a few people, done.
You only ever see this flow once per account. Afterwards, signing in takes you directly to the chat page of your workspace.

This flow appears only for an account that does not yet belong to a workspace, and this build does not allow self-registration — new people join through an invitation instead. Every step below is therefore described in words, with no screenshot: the wording in bold is the wording on screen. If you are looking at the flow right now, the two headings you should see are Name your workspace and Invite your teammates.
Prerequisites
- A signed-in account. See Signing in for how to get there.
- No existing workspace on that account. If you already belong to one, the platform skips this flow entirely and opens that workspace.
How you get here
Open the platform at its root address and sign in. What happens next depends on your account:
- You belong to a workspace — you land in its Chat page. If you belong to several, the one you used last opens; you can switch from the workspace name at the top of the sidebar.
- You belong to none — the setup flow below opens.
You can also be pulled out of this flow by an invitation: if a colleague invited you to their workspace, follow that link instead and you will join theirs rather than creating your own. See Accepting a workspace invitation.
Step 1 — Name your workspace
No screenshot.
The first screen is headed Name your workspace, with two short progress bars at the top showing you are on the first of two steps.
- Type a name into the single field. The hint below the heading suggests
something your team will recognise — your organisation or team name. Until
you start typing, the field shows a greyed-out example,
Acme Inc. - The number on the right-hand side of the field counts down the characters you have left. A workspace name can be up to 50 characters.
- Click Next. The button stays greyed out until the field has something in it other than spaces, and leading and trailing spaces are trimmed off the name you typed.
Nothing has been created yet at this point — the name is only held on to while you finish the second step.
Step 2 — Invite your teammates
No screenshot.
The second screen is headed Invite your teammates, with the field labelled Add teammate by email.
- Type one or more email addresses into the field, separated by commas — the
placeholder shows the shape it expects,
alex@example.com, jamie@example.com. Duplicates are only invited once. - If any address is malformed, clicking Next does not continue. Instead a red line appears under the field naming the first bad one, as Invalid email: …. Correct it and click Next again.
- Click Next to create the workspace and send the invitations, or Skip this step to create the workspace on its own. Skipping is not a postponement you have to make up later — you can invite people at any time from the workspace's Members page.
Everyone invited here joins with the Member role. If you need someone to be an admin, invite them as a member now and change their role afterwards on the Members page.
While the workspace is created
No screenshot.
Both buttons on the invite step lead to a full-screen holding state headed Creating your workspace…, with a sliding progress bar underneath. This normally lasts a second or two while the workspace is set up and the invitations go out.
When it finishes, you are taken to the Chat page of your new workspace and the flow is over. You are the workspace Owner: the sidebar, the admin sections and the workspace settings are all available to you immediately.
If something goes wrong, you are put back on the invite step with the reason shown in red underneath — most often Failed to create workspace. Please try again. Your workspace name is still there, so clicking Next again is usually enough.
Notes
- The name is not permanent. Change it whenever you like from the Workspace name field in workspace settings — nothing else about the workspace changes with it.
- Invitations are sent on a best-effort basis. If one of the addresses cannot be invited, the workspace is still created and you land in it as normal — the failed invitation is simply not there. Check the Members page for who actually received one, and re-send from there if somebody is missing.
- Leaving halfway creates nothing. Closing the tab during either step leaves your account with no workspace, and you will get the same flow next time you sign in.
- One workspace is not a limit. Once you are inside, New workspace at the bottom of the workspace switcher creates further workspaces without going through this flow again.
